    Terms for using Caire's services

    1. General

    These terms apply to Caire's website, dashboard, mobile app and related services. If Caire and a customer have entered into a separate written agreement, that agreement takes precedence over these general terms in the event of conflict. Users who receive access through an employer or organisation must also follow that organisation's instructions.

    2. Service description

    Caire provides a platform for planning, scheduling, employee mobile app workflows, visit registration and documentation in home care and care services. The service may include:

    • A dashboard for planning, scheduling, staffing and operational follow-up.
    • Optimisation and support for routes, resources and work allocation.
    • A mobile app for employees with schedules, visit workflows, documentation, notifications and offline functionality.
    • Visit registration using options such as GPS, NFC or manual flows depending on the customer's configuration.
    • Documentation with text, photos, voice notes and transcription when the feature is enabled.
    • Handbook, self-service, family access, reporting and integrations when those modules are included in the customer's agreement or configuration.

    3. Legal compliance

    The service is designed to support the customer's work under applicable rules. The customer is responsible for how Caire is used in its own operations.

    • The General Data Protection Regulation (GDPR)
    • The Swedish Social Services Act and other applicable care legislation
    • Applicable employment and work environment rules
    • Confidentiality rules and internal routines for care, documentation and operations
    • The customer's own decisions, instructions and retention rules

    4. Authorisation and accounts

    Caire is intended for organisations and authorised users who have received an account through their employer or organisation.

    • You may use Caire only if you are authorised to use the service for the organisation you belong to.
    • You are responsible for protecting your sign-in credentials and must not share accounts, passwords, one-time codes or sessions with others.
    • You must immediately notify your employer or Caire of suspected unauthorised access, a lost device or another security incident.
    • The organisation is responsible for keeping permissions, roles and user accounts up to date.

    5. The mobile app

    The mobile app is a work tool for authorised employees and must be used according to the employer's instructions.

    • The user is responsible for keeping the device reasonably protected with a screen lock and for signing out or reporting a lost device.
    • Offline functionality may mean that data is stored locally until the app can sync. The user is responsible for syncing when connectivity is available and following the organisation's routines if sync fails.
    • GPS and NFC are used for visit verification when the organisation has enabled those flows. The functionality must not be used for unauthorised monitoring.
    • Photos, voice notes and free text should be entered only when factual, relevant and permitted by the organisation's documentation rules.
    • Push notifications and app messages are aids. The user must still follow the organisation's ordinary routines for critical or urgent matters.
    • The Caire app is not an emergency service and must not be used as the only channel for alarms, urgent care or time-critical safety communication.

    6. Customer and user obligations

    The customer and each user are responsible for using Caire correctly and securely.

    • Provide accurate information and keep schedules, client data, roles and permissions up to date.
    • Follow applicable confidentiality, data protection, documentation requirements and internal routines.
    • Use the app's GPS, NFC, photo, audio and documentation features only when relevant for work and permitted by the organisation's instructions.
    • Check critical information and use professional judgement. Caire does not replace management, medical judgement or care staff responsibility.
    • Do not use Caire for unlawful content, unauthorised monitoring, harassment, attempted intrusion or other use that harms the service or others.
    • Ensure that required consents, notices, local routines and agreements are in place where the organisation's operations require them.

    7. Data security and confidentiality

    Caire works with technical and organisational security measures to protect the service and customer data.

    • Treat customer data confidentially and according to data protection agreements and documented instructions.
    • Use access controls, encryption, logging and other security measures appropriate for the nature of the service.
    • Limit access to personnel and suppliers who need it for operations, support or security.
    • Handle security incidents according to agreed routines and applicable law.
    • Store and process data according to the privacy policy, customer agreement and applicable data processing agreements.

    8. Availability and support

    Caire works to provide high availability and reliable operation. Planned maintenance, external outages, network issues, app store issues or the customer's own systems may affect access to the service. Support terms, service levels and incident handling are governed by the customer's agreement with Caire when such an agreement exists.

    9. App stores and third-party services

    When the mobile app is downloaded through Apple App Store or Google Play, the terms of the relevant platform also apply.

    • Caire is responsible for the app's functionality, support and content under these terms and any applicable customer agreement.
    • Apple, Google and other platforms are not responsible for Caire's support, operation or care documentation.
    • The app may use third-party services for functionality such as sign-in, push notifications, operations and speech-to-text. This use is described in the privacy policy.

    10. Intellectual property rights

    Caire and our licensors retain all intellectual property rights to the service, software, trademarks, design, documentation and underlying technology. The customer receives a limited, non-exclusive and non-transferable right to use the service during the contract term. The customer retains rights to its own data.

    11. Limitation of liability

    Caire is not responsible for decisions, actions or documentation made by the customer or users using the service. The service is a digital work tool and does not replace the customer's responsibility for staffing, management, care, documentation or legal compliance. Liability, limitations of liability and any compensation levels are governed by the customer's agreement with Caire when such an agreement exists.

    12. Contract period and termination

    Contract term, termination, offboarding, data export and deletion are governed by the customer's agreement with Caire. Caire may restrict or suspend access in case of security risk, unauthorised use, material breach or when the user's organisation requests it.
