Manual planning of staff and routes
Takes enormous amount of time and often results in suboptimal solutions
Evaluate planner-controlled scheduling candidates and operational trade-offs with your own data.
Anna works as a planning coordinator at a home care organization. Every week she spends countless hours manually piecing together schedules for dozens of care assistants and clients. She juggles continuity requests (clients who want the same staff), limited resources, long distances and sudden changes like sick leave. The result is often stress, overtime and suboptimal routes.
With CAIRE, Anna starts from standing data in the product — clients, care plans and visits — and gets schedule proposals she can compare. When something changes, CAIRE flags the gap and prepares a reviewable proposal; Anna approves before anything is published.
Scheduling home care is complex. Without tools, planning easily becomes a high-stakes puzzle where human planners do their best but are limited by time and overview. The consequence can be stressed employees, increased costs and less satisfied clients.
Takes enormous amount of time and often results in suboptimal solutions
Leads to high costs and low productivity
Organizations spend time on technical solutions instead of focusing on the quality of care
The CAIRE platform prepares reviewable scheduling candidates and per-run diagnostics from configured inputs. Human coordinators compare trade-offs and decide what to publish; time, cost, and quality outcomes remain provider-owned follow-up.
Enter clients, care plans and visits as standing data in Caire. Caire calculates the staffing needed, places visits into shifts and routes, and gives you comparable proposals — you choose which one is published.
Caire prepares candidates from configured restrictions and goals, then reports travel, conflicts, gaps, coverage, and other measures for planner review.
After a schedule is built, Caire reports configured care-time, efficiency, and continuity measures and prepares reviewable change proposals. The provider validates the measures and approves any publication.

Caire helps planners compare schedule candidates using the operation's own data. Coverage, travel, continuity, workload, and business measures are reviewed per run; no fixed outcome is implied.
Route alternatives make travel time visible alongside continuity, coverage, and other planning goals. Outcomes depend on the operation's data and the current run configuration.
Compare overtime, temporary staffing, travel, and other configured cost measures from equivalent snapshots. The operation validates any financial impact after publication.
Review client time, travel, waiting, and available time for each candidate. The measured value depends on the source snapshot, staffing, constraints, and configured priorities.
Compare the number of caregivers per client and other continuity measures for each candidate. The planner decides how to balance continuity with coverage, skills, and time windows.
Review workload, overtime, travel, and schedule stability before publication. Staff experience and retention remain outcomes for the provider to follow up over time.
Dashboards and receipts expose run-specific measures such as travel time, unfilled visits, continuity, workload, and configured costs. Equivalent source snapshots are required before drawing a comparison.

Getting started with CAIRE is simple. The platform is cloud-based, so there is nothing to install. You enter clients, care tasks and caregivers as standing data in the product. External coupling — for example one-way fetch from Carefox where an API is configured — is arranged per customer at onboarding. CAIRE then builds a first schedule you can compare with how you plan today.
The standard path is to enter clients, care plans, visits and staff directly in Caire. Where a Carefox API is configured, Caire can fetch planning data one-way (GET). Other external coupling is arranged with you during onboarding.
During onboarding you set the parameters that matter — units, working-time rules, skills and continuity preferences. Caire guides you step by step until your first schedule is ready to compare. Each organization's data is kept separate. You own your information; Caire only processes it on your behalf. Logins and permissions are handled securely so only authorized planners reach the tool.
Caire runs alongside the systems you already use. Nothing in production changes until a planner reviews a proposal and publishes it. You can try, compare and introduce improvements gradually — without interrupting day-to-day operations.
Once clients, care plans and visits are in CAIRE, a planning run prepares schedule candidates and reports coverage, travel, client time, efficiency, and continuity. Nothing is overwritten; a planner reviews and approves before publication.
Enter clients, care plans and planned visits as standing data in Caire. Review the foundation so you can correct mistakes before the schedule is built.
Caire analyzes the care plans and visits and identifies which shifts and capacity you need — without asking you to tune technical solver settings for a normal first run.
Required shifts are added and visits are routed. You get comparable proposals (for example baseline, coverage and efficiency) side by side — nothing is overwritten until you choose.
Inspect the calendar, metrics and diagnostics. Adjust if needed; Caire warns on conflicts. When you are satisfied, you publish — Caire assists, the decision stays with the planner.
Home care changes during the day. CAIRE does not treat a published schedule as finished forever. It surfaces status (where the plan is strained), what to improve (care time, efficiency, continuity, sick leave, gaps), and a clear next action — always as a proposal you review and approve, never as a silent rewrite of the live plan.
If a caregiver calls in sick or a new urgent visit appears, you ask Caire (or open diagnostics) for a realistic cover plan. Caire recalculates with the new premises and proposes how to cover the gap. You review and approve the change — no panic spreadsheet, and no automatic overwrite of the live schedule.
Caire suggests caregivers in the same area with current workload in view, within the rules you set (max hours, skills, continuity). It can flag days that look understaffed before they break, so you act early — call in cover or re-run an improvement — instead of fighting fires after the fact.
Caire highlights unused hours and peaks hour by hour — where demand exceeds staffing, and where time is left over — and suggests how to even the day. Every suggestion stays a draft until a planner approves it.
Scenario comparisons provide decision support by reporting measures from candidates built on the same frozen source snapshot. The provider owns any cost or quality conclusion.
You can create different optimized schedules based on the same original schedule – for example, Scenario A with certain settings or priorities, and Scenario B with others. Maybe you want to compare a schedule with vs. without allowed overtime hours, or simulate the outcome if you had an extra staff member available. Caire lets you set up these alternatives without risk, as separate optimization runs.
Caire presents travel time, overtime, coverage, continuity, workload, and other configured measures side by side. Compare candidates from equivalent inputs, inspect diagnostics, and choose which trade-offs meet the operation's goals.
Caire dashboards can present configured measures such as cost, travel time, utilization, and continuity for a planning run. Compare equivalent snapshots and retain approved evidence through the supported product workflow; exported PDF/Excel result reports and automatic learning-based parameter suggestions are not promised here.
Reviewable replanning: When conditions change, prepare a new candidate and require planner approval before publication.
Schedule candidate generation: The optimization engine prepares work-schedule proposals from standing data and configured rules for planner review before publication.
Scenario comparisons: Ability to create multiple alternative schedules and compare them side by side regarding KPIs. Facilitates 'what happens if' analyses and strategic decisions.
Route comparison: Each run reports travel-time and distance trade-offs alongside coverage, continuity, and workload.
Continuity: Each run reports continuity trade-offs, including how many different caregivers are assigned to a client; the provider evaluates quality and client experience separately.
Financial measures: Where configured inputs support them, compare staffing, travel, fuel, and margin assumptions between equivalent schedule candidates; validate conclusions against provider-owned financial data.
Proactive schedule management: CAIRE shows status, what to improve, and a clear next step — care time, efficiency, continuity, sick leave and unused capacity — as proposals you approve. Nothing changes silently.
