What is Journal?
Journal is Caire's module for social documentation under the Social Services Act (SoL): the personal record, journal entries and care plans. Journal works with Caire's planning, but can also be used on its own, without scheduling.
Switch on Journal
Journal is switched on for the whole organisation according to your agreement. Switching it on gives no individual access; each user also needs the right permission and access to the unit.
- 1. Appoint a responsible manager per unit. The administrator proposes the manager, and the manager accepts.
- 2. Grant the right permissions. Reading, writing, managing care plans, granting access, exporting and reviewing the access log are separate permissions.
- 3. Approve a retention routine. A different person from the one who prepared it approves the routine.
Who may read a journal?
Two-factor verification is required for every read and write. Export and changes to access require verification within the last ten minutes.
- Caregivers may read and write for clients they have a published visit with, from 12 hours before the shift starts until 12 hours after it ends.
- Outside that window a manager can grant time-limited access to a specific client, with a stated reason.
- Office staff need explicit access to the unit or client in addition to the journal permission.
- A scheduling role, a general health permission or a family relationship gives no journal access.
Entries, signing and corrections
A draft is saved and can be reopened before it is signed. A signed entry or a published care plan is never changed afterwards. A correction is added as a new signed entry with a reason, and the original remains and is shown with the correction.
Access log and privacy
Every time someone opens a journal or a file, it is logged before the content is shown. The responsible manager can review the log per unit. Journal text is never sent to AI models, partners or the optimisation.
Export and moving between units
A person with the export permission can export the whole journal. A client who changes unit is moved with a documented handover, and the origin in the previous unit is kept.
